MeLetters.co.uk (“we”, “our”, “us”) is committed to protecting your personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. This policy explains what data we collect, why, and your rights.
1. Who We Are
MeLetters.co.uk is an AI-powered letter writing service. For data protection purposes, we are the data controller. You can reach us at hello@meletters.co.uk.
2. Data We Collect
We may collect the following personal data when you use our service:
- Name — entered by you in the letter form, used only to personalise the generated letter.
- Email address — collected if you create an account via Clerk, our authentication provider.
- Letter content — the text of letters you generate. This is stored only if you have a signed-in account.
- Usage data — basic anonymised analytics about how the service is used (page views, general usage patterns). This is not linked to individual users.
We do not intentionally collect sensitive personal data (special category data). Please avoid including sensitive information such as health details, financial account numbers, or national insurance numbers in your letter descriptions.
3. Why We Collect Your Data (Legal Basis)
- Letter generation: Your name and situation details are processed to produce your letter. Legal basis: performance of a service you have requested (Article 6(1)(b) UK GDPR).
- Account and letter history: If you create an account, we store generated letters so you can access them later. Legal basis: legitimate interests (Article 6(1)(f) UK GDPR) — providing the history feature you signed up for.
- Service improvement: Anonymised usage analytics help us improve the service. Legal basis: legitimate interests.
4. How Long We Keep Your Data
- Letters: Stored for as long as you maintain an account. You can request deletion at any time by emailing hello@meletters.co.uk.
- Account data:Managed by Clerk. Please refer to Clerk’s privacy policy for their data retention terms.
- Anonymous use: Data entered in the form by users without an account is sent to OpenAI to generate the letter and is not stored on our servers.
- Cookie data: Managed by your browser settings. Google AdSense cookies follow Google’s standard retention periods — see Google’s Privacy Policy for details.
5. Third-Party Services
We use the following trusted third-party services to deliver the service:
- Supabase (supabase.com)— cloud database provider. Your saved letters are stored in Supabase’s infrastructure. Supabase is SOC 2 Type II certified.
- Clerk (clerk.com) — authentication provider. Manages account creation, sign-in, and sessions. Clerk stores your email address and account details in accordance with their privacy policy.
- OpenAI (openai.com)— powers letter generation. Your form inputs are sent to OpenAI’s API to generate your letter. OpenAI does not use API data to train its models by default. See openai.com/policies for details.
- Google AdSense (google.com/adsense)— serves advertisements on our site. Google may use cookies to serve relevant ads. See Google’s Privacy Policy for details.
- Cloudflare (cloudflare.com) — domain and email routing provider. Cloudflare processes connection data as part of standard internet infrastructure. See cloudflare.com/privacypolicy for details.
6. Your Rights Under UK GDPR
You have the following rights regarding your personal data:
- Right of access — request a copy of the personal data we hold about you.
- Right to rectification — request correction of inaccurate data.
- Right to erasure — request deletion of your personal data (“right to be forgotten”).
- Right to restriction — request that we limit how we process your data.
- Right to data portability — receive your data in a structured, machine-readable format.
- Right to object — object to processing carried out on the basis of legitimate interests.
